Job title: Sales Operations Support team member Located: Southall HQ (working yard with the office across different portacabins) Contract: PAYE, full-time 9am to 6pm Monday to Friday - or part-time will be considered if you can work at least 4-5 hours every day from Monday to Friday Are you the most super-organised person you know? Do you know how to help an MD complete the sales cycle (where he starts it and you finish it), and you ensure all the i’s are dotted and t’s crossed? Are you awesome at learning new systems? And you can keep track of edits and the training of new processes? Plus can you keep up with a demanding MD who needs support to make things happen and complete operational and sales tasks? Perhaps this is your next role. You’d be joining a well-established logistics company with a small team of only 3 based in the office. As the person who will support the MD to ensure more things are achieved on his very, very, very long to-do list, it is absolutely vital you are able to work with a demanding senior manager. We’d also need to rely on your ability to document everything, and update processes and systems, and then liaise with those who will train out those processes to the different teams (drivers, yard and office teams). Whilst we don’t expect you to have a background in the industry (logistics, waste oil collection and new oil sales), we do expect you to be very detail oriented, numerate and fantastic with Excel spreadsheets and data in general. Do you have the following key skills, experience and personality traits: * Attention to detail (letters, emails, quotes, contracts, spreadsheets, invoices etc) * Excellent communication skills * Proven ability to support the MD or a senior manager within a small company * Able to finish off the sales process once the MD has sent a quote to a company - strong sales admin experience is essential * Ensure accurate minutes of meetings are circulated within 24 hours of a meeting * Produce action lists for the MD and hold him accountable to complete the required tasks * Create procedure documents based on discussions with the MD and different senior members of the team * Keep those who undertake training and staff inductions accountable so as all processes and procedures are trained and update regularly There is a lot to do in this role and it’s brand new so no shoes to fill, but plenty of work to do in the first six months to get this business running more smoothly and the MD to feel more supported with reducing his To-Do list!
