Team Coordinator, City of London
About the role:Capita Group Systems requires a versatile and multi-tasking Team Coordinator to perform administrative duties within our busy team based in central London, Kraków, Wiltshire and Carlisle. The role does not require travel.What you will do:Processing travel requests from the team, seeking quotes and obtaining the necessary travel approvals, booking tickets and accommodation, processing visa applications (where necessary), preparing and distributing travel itineraries and tickets to the team.Raising and managing IT service requests with IT Services and Desktop support including new laptops, remote access connections, webex account, mobile connections, etc.Procure and issue laptops, passwords and equipment to new starters on the date of joining to ensure they are productive from the outset. Assist new starters to access their email, Capita Desktop, etc. Provide new starters with an overview of Capita Desktop ESS functions.Health & Safety inductions for new starters on date of joining.Manage Health & Safety issues including logging incidents on Casper, and proactively raising service requests on facilities, etc.Stationery ordering, seeking quotes and obtaining the necessary approvalsDSE assessments, both annual and following office moves/reshuffles. Manage issue resolution and champion DSE user requests (where appropriate)Review/update Annual Insurance ScheduleMaintain Group Systems asset register for ISO27001 certificationPurchase request processingManage MFD device – order toners/meter readings/log call if not workingMaintenance of GRIS DLs to reflect Joiners, Movers, LeaversManagement of mandatory training compliance including ensuring all staff are booked on courses and maintain compliance always.Other admin as required by the management teamNB: The scope of this role may expand in future to encompass Group PlatformsYour experience will include:Knowledge of Capita Systems and processes including SAP, Capita Desktop, Concur, COLIN, Travel booking system, CASPER, etc. Full training will be provided where requiredSound skills in the use of MS Office including Outlook, Word and Excel to an intermediate level. PowerPoint skills would be an advantage.A self-starter with excellent analytical and problem-solving skills, where required you are able to work and make decisions in the absence of direction.Ability to work to tight deadlines and under pressure.A strong teamwork ethic with a proven ability to work collaboratively.Customer focused. Anticipate the needs of the team and respond accordingly. A focus on results and a flexible, 'can-do' approach.Good communication and interpersonal skills - both oral and written.A willingness to learn, grow and stretch in to new roles if required.
