We are now looking to recruit a new Payroll and Human Resources
Administrator to work with our current Administrator.
Key Job Roles:

with the boots and doors closed

Administration Assistant (Part Time) -20 PW) - Charity, London
Administration Assistant (Part Time-20 hours per week)

£22,000 - £25,000 PA Pro Rata + Benefits
We are an ambitious charity with the potential to make a big impact in
the future of mental health and have a new part time administration
role that will support our Chief Exec and small fundraising and
project team.
The Charity:
We are the hospital charity for South London and Maudsley NHS
Foundation Trust (SLaM). We fundraise and support projects across
SLaM, the Institute of Psychiatry, Psychology and Neuroscience, King's
College London, our local community and nationally.
We back better care, recovery and prevention of mental illness. We
support patients and families, clinical care teams and scientists who
are working towards the common goal of improving mental health
The Administration Assistant Role:
The purpose of the role is to support the Charity staff team and
trustees to work effectively through excellent administrative support.
The Administration Assistant will be line managed by the Chief
Executive of the Charity; the incumbent will support the whole (small)
team and work closely with the Business Support Manager. The post has
no direct reports.
Responsibilities:
The role needs to be flexible as tasks will vary depending on the
needs of the team. The list below outlines a range of ongoing work
which will fall to the post-holder.
+ Supporting the Business and Office Manager in the organisation of
team, board and committee meetings - sending diary invitations,
confirming meetings, room and catering bookings, print and postage of
meeting papers as required
+ Dealing with trustee expenses, arranging travel or accommodation if
required
+ Diary management for the Chief Executive and organisation of
meetings for other members of the team as required.
+ Supporting the organisation of internal and external events
+ Proof reading documents
+ Taking notes and minutes of meetings
+ Maintaining subscriptions to online magazines and membership
organisations – sharing information to the charity (eg from the
association of charitable foundations) with team and trustees
+ Maintain stock and supplies of stationery
+ Support the Head of Grants with operation of the grants system
including data entry and printing of reports
+ Support finance colleagues with finance data processing as
appropriate
+ Draft email and hard copy correspondence as required
+ Manage general enquiries, responding or passing to appropriate team
member team
Required Skills & Experience:
+ Good organisational skills, with the ability to prioritise and
complete a range of tasks
+ Experience of an administrative roles with a similar range of
responsibilities
+ Experience of taking minutes of meetings involving complex and
detailed discussion – shorthand desirable but not required
+ IT literate with competence in Outlook, Word, Excel and PowerPoint
(Mac preferred) and exposure to various business software
+ Self-starter with a proactive approach to addressing challenges and
the ability to work flexibly as part of a team
+ Friendly and approachable manner
+ Attention to detail with good standards of spelling and grammar
+ Ability to work well with senior people including trustees
+ Committed to providing a high standard of work and continuous
improvement
Location and working days/hours:
The office of the charity is based at the Ortus Centre, a five minute
walk from Denmark hill station (several direct routes from Central
London).
The office is a modest open plan space accommodating the eight staff
currently employed by the charity. The award winning building is
primarily a learning and events centre and is a busy and pleasant
environment from which to work from.
This is a part time role (20 hours per week). The spread of these
hours can be negotiated; however the post- holder spreading these
hours over either four or five days per week is preferred. The
building is accessible 8am to 5.30pm each day.
Remuneration Package:
+ Salary: £22-25,000 pro rata depending upon experience
+ Holidays: 33 days pro rate inclusive of 8 statutory holidays
increasing by one day after 3 and 5 years’ service
+ Pension scheme: Employer contribution up to 6% Employee contribution
up to 3%. Scheme commences after the completion of 3 month
probationary period
+ Hours of work: 20 hours per week
